PlanningPass ("we", "us", or "our") is committed to protecting and respecting your privacy. This policy explains how we collect, process, and store your personal data when you use the PlanningPass or Landlord Compliance services. For the purpose of the UK General Data Protection Regulation (UK GDPR), the data controller is PlanningPass.

We collect and process the following data to provide our feasibility and compliance services:

• Identity & Contact: Name and Email address (captured for report delivery).
• Property Data: Full address, Postcode, and EPC ratings (required for regulatory analysis).
• Questionnaire Answers: Specific details regarding your tenancy or project (e.g., rent amounts, project types, safety certificates).
• Usage Data: How you interact with our wizards and site.

3.0 Legal Basis for Processing

Under UK GDPR, we rely on the following legal bases:

• Contractual Necessity: To generate the report you have requested and paid for.
• Legitimate Interests: To improve our AI models and service performance.
• Consent: Where you have explicitly agreed to receive marketing communications (optional).

4.0 Data Processors (Third Parties)

To provide a premium service, we share your data with the following processors:

Note on AI: We use Google Gemini (US-based) to analyze your data. This is protected under Standard Contractual Clauses (SCCs) to ensure your data remains protected outside the UK/EEA.

5.0 Data Retention

We store lead data for 12 months for the purpose of manual audits and customer support. After this period, personal data is anonymized or permanently deleted from our servers.
